Attention Renters: Important Rental Guidelines

Dear valued customer,
Thank you for choosing Display Dreams Party Rentals for your upcoming event. We are excited to work with you to make it a memorable experience. As professionals, we prioritize the safety and satisfaction of our clients, and we would like to remind you of a few important policies and requirements.
1. Submission of Photo ID and Signed Contract
To proceed with your reservation, we kindly request that you send us a copy of your photo ID. This can be conveniently done by either text or email. Additionally, please ensure that your signed contract is returned to us within 24 hours upon receiving your booked invoice. Failure to comply with this timeframe may regrettably result in the cancellation of your reservation.
2. Proper Tent Setup
For optimal safety, we strongly recommend setting up your tents on grassy areas. This allows us to securely stake down the tents, ensuring their stability even under varying weather conditions. However, if you prefer your setup on cement, pavers, or any other type of surface, please provide us with a picture of the entire space. This will allow us to assess the feasibility of your request.
It is crucial that you measure your designated area to ensure that the tent and other rentals will fit properly. Kindly send a photograph or precise measurements to Marilin at 929-687-9265. In the event that the rentals do not fit during the scheduled setup, please note that your deposit will be forfeited, or additional fees may be applicable.
3. Strict Prohibition of Patio Heaters and Non-Commercial Grade Heaters
Please be aware that the use of patio heaters or any other heaters, apart from the ones we provide, is strictly prohibited under our tents. We emphasize this due to several critical reasons. Firstly, these heaters pose a significant fire hazard, potentially causing damage to both the tent and other rentals. Secondly, and most importantly, they emit carbon monoxide, a colorless and odorless gas that can be life-threatening.
We kindly request that you adhere to this policy in order to ensure the safety of all attendees. Please note that you will be fully liable for any damages incurred and any necessary replacements.
4. Sprinkler System: For the duration of your rental, we kindly ask that you shut off your sprinkler system. This will prevent any unnecessary water damage to our inflatables, throne chair, tent rentals, and other equipment.
5. No Staining or Ruining: Please refrain from eating, drinking, smoking, using fireworks, silly string, or wearing wet clothes near the rented items. These substances have the potential to stain or ruin the inflatables, throne chair, tent, or any other equipment. We appreciate your understanding in maintaining the quality of our rentals.
6. No Tape, Staple, or Glue: We kindly request that you do not use tape, staple, or glue of any kind on our tent poles, tent walls, or any part of the tent. These materials can leave a residue that is difficult to remove and can negatively impact future clients. We appreciate your cooperation in maintaining the cleanliness and integrity of our tents.
7. Clear Tent Area: Prior to our arrival, please ensure that the area where you would like your tent set up is clear and free of any obstacles such as tables, chairs, BBQs, or other furniture. This will allow our team to efficiently build the tent without any interruptions. If you have concerns about space limitations, please communicate with us and feel free to send photos/videos of the area. We can also arrange for a measurement service upon request. However, please note that availability of alternative tent sizes on the day of setup cannot be guaranteed. In the event that we need to return with a different tent, a delivery fee will apply and deposits may not be returned. We kindly ask that you take responsibility for measuring the space before booking.
8. Timely Decorations Removal: If you choose to decorate or use table decor within our rentals, please ensure that all decorations are taken down the same night. Our delivery team may need to return early the next day for take down, and they are not responsible for any damages that may occur due to lack of cleanup. Your cooperation in this matter is greatly appreciated.
9. Maintain Cleanliness: We kindly request that you clean any stains or food spills that occur during your event. We strive to provide our rentals in the same pristine condition in which you received them. Your attention to cleanliness will ensure the satisfaction of future clients who choose our services.
10. Optional Linens: Please note that linens are optional and come at an additional cost. These linens are used, and while we make efforts to conceal any stains or damage, they may not be in perfect condition. We appreciate your understanding regarding the condition of our linens.
Responsibility for use and disclaimer of warranties. You are responsible for the use of the rented item(s). You assume all risk inherent in the operation, installation, including but not limited to underground utilities, and use of the item(s) and agree to assume the entire responsibility for the defense of, and to pay, indemnify, and hold Display Dreams Party Rentals harmless from, and release Display Dreams Party Rentals from, any and all claims for damage to property or bodily injury, including death, resulting from the use, operation, installation, or possession of the item(s) whether or not it be claimed or found that such damage or injury resulted in whole or in part from Display Dreams Party Rentals negligence, from the defective condition of the item(s) or for any cause. You agree that no warranties, expressed or implied, including merchantability or fitness for a particular purpose have been made in connection with the equipment rented. The renter agrees to have the work site free and clear from any obstructions or obstacles. We are not responsible for any damage to underground wires, pipes or such items. Unless specified otherwise, tables and chairs are delivered NOT set up. All respective permits are the responsibility of the client. TERMS AND CONDITIONS RENTAL EQUIPMENT 1. INSPECTION: Customer acknowledges that he/she has had an opportunity to personally inspect the equipment, and finds it suitable for his/hers needs and in good quality, and that he/she understands its proper use. Customers further acknowledge their duty to inspect the equipment prior to use and notify Display Dreams Party Rentals of any defects. 2. REPLACEMENT OF MALFUNCTIONING EQUIPMENT: If the equipment becomes unsafe or in disrepair as a result of normal use, Customer agrees to discontinue use and notify Display Dreams Party Rentals, who will replace the equipment with similar equipment in good working order, if available. Display Dreams Party rentals are not responsible for any incident or consequential damages caused by delays or otherwise. 3. HOLD HARMLESS AGREEMENT: Customer agrees to assume the risks of and hold Display Dreams Party Rentals harmless for property damage and personal injuries caused by the equipment and/or arising out of acts of god and/or Display Dreams Party Rentals accidental negligence. 4. PROHIBITED USES: Use of the equipment in the following circumstances is prohibited and constitutes a breach of this contract. 1. Use for illegal purposes or in an illegal manner, 2. Use when the equipment is in bad repair or unsafe, 3. Improper unintended use or misuse, 4. Use by anyone other than Customer or his employees without Display Dreams Party Rentals' written permission, 5. Use of any location other than the address furnished without Display Dreams Party Rentals' written permission. 5. ASSIGNMENTS, SUBLEASES, AND LOANS OF EQUIPMENT: Display Dreams Party Rentals may assign his rights under this contract without customers consent, but will remain bound by all obligations herein. Customers may not sublease or loan the equipment without Display Dreams Party Rentals' written permission. Any purported assignment by a customer is void. 6. TIME OF RETURN: Customer’s right to possession terminates on the expiration of the rental period and retention of possession after this time constitutes a material breach of contract. Time is the essence of this contract. Any extension must be mutually agreed upon in writing. 7. LATE RETURN: Customer agrees to return the rented goods during Display Dreams Party Rentals regular business hours if applicable, upon termination of the rented period. Lessee agrees that in the event the rented goods are held beyond the expiration of rental period as designated in contract, the daily rate as indicated on the contract shall be the agreed contractual rate for the entire rental period, notwithstanding and previously agreed rate. 8. DIRTY,DAMAGED OR LOST EQUIPMENT: Customer agrees to pay for any damage to or loss of the goods, as an insurer, also agrees to pay a reasonable cleaning charge for equipment returned dirty. Accrued rental charges cannot be applied against the purchase or cost of repair of damaged or lost goods. Equipment damage beyond repair will be paid at its fair market value when rented. The cost of repairs will be borne by the customer, whether performed by Display Dreams Party Rentals, or Display Dreams Party Rentals option by others. 9. TIME OF PAYMENT: Payments are due upon installation. Card payments are due the day before installment 10. COLLECTION COSTS: Customer agrees to pay all reasonable collection, attorney and court fees and other expenses involved in the collection of the charges or enforcement of Display Dreams Party Rentals right under this contract. 11. REPOSSESSION: Upon a failure to pay rent or other breaches of the contract, Display Dreams Party Rentals may terminate this contract and take possession of and remove the goods from wherever they are, and Display Dreams Party Rentals and his agents shall not be liable for any claims for damage or trespass arising out of removal of the goods. 12. DAMAGE WAIVER CHARGE: If customer accepts the DWC, Display Dreams Party Rentals agrees to waive any claim against the customer for Accidental damage to equipment rented under this contract. DWC does not cover Vandalism, theft or mysterious disappearance. DWC is not insurance. 13. WARRANTIES: There are no warranties of merchandise or fitness, either express or implied. There is no warranty that the equipment is suitable for customer's intended use, or that it is free from defects (chair brakes or etc) TENT RENTAL 14. TENT SETUP: Equipment is rented for the duration of the event. Installations and removals are scheduled during our normal business hours unless otherwise agreed upon. Due to the nature of our business, evening, Sunday and Holiday installations and removals are sometimes necessary. We reserve the right to not take down/put up tents due to the weather. 15. Display Dreams Party Rentals Is not liable for injuries or damage to persons or property occurring during the rental period up to the return of the item(s) caused by fire, windstorm, rain, snow, cyclone, tornado, hail, explosion, mischief, vandalism, normal wear and tear like chair braking or any and all acts of god. WARNING: A tent is not a building and is not to be used as a public shelter from extreme weather. Tent must be vacated in the event of high winds, snow, or any sign of anchor failure. 16. In the event of adverse weather or ground conditions Display Dreams Party Rentals may enter your premises and without any court order or other process of law, either with or without notice to you. Display Dreams Party Rentals is not responsible for location or for damage to or from underground utilities or membranes. The customer is responsible for providing information for proper anchoring. Display Dreams Party Page Rentals cannot be responsible when the anchoring surface is unknown. 17. For items where we deliver and install, the customer is responsible for all its own property and liability insurance relating to the rental equipment from the time of installation through time of removal. 18. Please understand that if the invoice is not signed upon arrival of the rentals and you accept the rental delivery then you approve and will abide by the invoice it will be considered an accepted and “signed” invoice. 19. The customer is responsible for obtaining all permits and/or licenses from the appropriate government agencies. Display Dreams Party Rentals will be at the customers written request, acts as an agent to obtain permits and/or licenses from the appropriate agencies. If these agencies should require additional equipment, the expense of this equipment will be the sole responsibility of the customer. If permits or licenses are denied for any reason, the customer is still responsible for all financial and other obligations pursuant to this agreement. 20.CANCELLATIONS: Orders within two (2) weeks prior to event date will be charged 1⁄3 of retail rental rates. Please be advised the tent needs at least 5 feet extra all around to be built. Please confirm with us the measurements of your space.
